Using AdCollab: The Ad Creation phase

Once a sponsorship has been accepted, the project moves into the Ad Creation phase. If you have the AdCollab Ad Production role, this is where your work begins. This phase covers everything from receiving your creative brief to the final approval of your assets.

1. Accessing the Creative Brief

Before you hit "record," you need to know what to say. Every campaign in AdCollab features a dedicated section for your Creative Brief.

  • What’s inside: You’ll find talking points, mandatory "legal" mentions, script outlines, and information on any trial products being sent your way.

  • Deadlines: Your submission deadline is clearly displayed. Keeping an eye on this ensures the campaign launches on time across all platforms.

2. Multi-Format Asset Management

AdCollab is no longer just for audio. Whether you are producing a podcast spot or an omnichannel sponsorship, you can manage all your files in one place:

  • Audio (RSS DAI): Upload your standard 30 or 60-second sponsorship reads.

  • Video: Upload dynamic or baked-in video segments.

  • Social & Images: If the deal includes an Instagram or any social media component, you can upload the relevant assets here.

How to upload: Simply drag and drop your files into the Upload area of the campaign page. AdCollab supports a variety of high-fidelity file formats to ensure your production quality remains top-tier.

3. The Review & Revision Cycle

After you upload an asset, it is sent to the Acast team for review. Here’s what to look for:

  • Pending Approval: The asset is currently being reviewed by a planner.

  • Revisions Requested: If a change is needed (e.g., a name pronunciation fix or a script tweak), you’ll receive an email and a chat notification. The feedback will be listed directly in the tool.

  • Uploading a New Version: You can upload a revised version to the same project. This keeps the version history clean and ensures everyone is looking at the most recent file.

4. Collaborating via Chat

The Chat is your direct line to the Acast production team. Use it to:

  • Clarify a point in the brief.

  • Ask for an extension on a deadline.

  • Confirm if a trial product has shipped.

  • Provide context for your creative approach.

💡 Pro-Tip: Reply via Email

If you’re in the middle of editing and get a chat notification, you don’t have to stop and log in to AdCollab. Just reply to the notification email, and your message will be posted directly into the project chat for the Acast team to see.

5. Final Approval

Once your assets meet all the requirements, the status will update to Approved.

  • You're Done: Once you see the "Approved" status, your work for that specific creative is complete.

  • What Happens Next? Acast planners will take it from here, ensuring your assets are scheduled and delivered to the correct platforms for the campaign launch. For certain sponsorship types, like video or social, you will have to ensure the content is added and published on schedule.

Checklist for a Smooth Production

  • Check the Brief early: Ensure you have all the info you need before your recording session.

  • Monitor the Chat: Keep an eye out for feedback or questions from the Acast team.

  • Watch the Deadline: Submit your assets at least 24 hours before the deadline to allow time for the review process.
