AdCollab: Getting access and adding users

How are AdCollab permissions managed and how to give access to users in your network.

Managing sponsorships is often a team effort. Whether you have a producer handling the technical uploads or an agent reviewing the deal terms, you can easily give them the access they need.

In Acast, access is managed through User Management Roles. To interact with sponsorships, a user needs one of the AdCollab roles attached.

Who already has access?

By default, any Owner of a monetized podcast network has full access to AdCollab. If that’s you, you’re all set! You can log in right now at sponsorships.acast.com.

Understanding AdCollab roles

Users in AdCollab can be assigned one of two distinct roles, or both of them.

AdCollab Approvals

This role is designed for the person who handles the "business" side of the sponsorship: usually an Owner, Agent, or Business Manager. They manage the partnership before the production starts.

  • Review & Respond: They can view new sponsorship invitations and officially Accept or Decline them on behalf of the show.

  • Revenue Visibility: They have access to see the estimated revenue and campaign details associated with each invite.

  • Chat Access: They can use the chat to negotiate terms or clarify the brief with the Acast team.

AdCollab Ad Production

This role is built for the Producer, Editor, or Host: the person responsible for getting the ad recorded and delivered. Their focus is on the "creative" execution.

  • Creative Brief Access: They can view and download the creative briefs, scripts, and talking points once a campaign is accepted.

  • Asset Management: They have the permission to upload, review, and revise all creative assets, whether it’s an audio file, a YouTube video, or social media images.

  • Workflow Tracking: They can see submission deadlines and track the status of their uploads.

  • Creative Chat: They can use the chat to ask specific questions about the script or recording requirements to ensure the final product hits the mark. All chats sent before approval will not be shown to the user.

Show and Network level permissions

You can grant access at two different levels depending on how your team is structured:

  • Network-level: Best for managers or producers who look after every show in your network. They will see all invitations and receive production notifications for the entire portfolio (if they have both permission types).

  • Show-level: Best for creators or producers who only work on specific shows. They will only see monetary amounts and get production notifications for the shows they are assigned to (if they have both permission types).

How to give access to users

If the user is already in your Acast team:

  1. Navigate to User Management (at either the Network or Show level).

  2. Find the person you want to update, click the three dots ( ⋮ ) to the right of their name, and select Edit.

  3. Check the box for the AdCollab role you want to give them (Approvals, Ad Creation, or both)

  4. Hit Save.

If you are inviting someone new:

  1. In User Management, click the Invite User button.

  2. Enter their email address.

  3. Check the box for the AdCollab role you want to give them (Approvals, Ad Creation, or both)

  4. Click Invite. They’ll receive an email to join the team and can jump straight into AdCollab.

Removing Access

If a team member leaves or no longer needs to manage sponsorships, simply follow the "Edit" steps above and uncheck the AdCollab roles. Their access to the dashboard and all future notification emails will stop immediately.
