Using AdCollab: Collaboration Approvals

If you have been assigned the AdCollab Approvals role, you are the gatekeeper for your show’s brand and business. Your primary responsibility is to review incoming opportunities, manage the "business" side of the partnership, and ensure that the creative team has the green light to start production.

The Approval Workflow

When an Acast planner identifies a potential match for your show, the partnership begins in the Invitation stage. Here is how to navigate your tasks:

1. Reviewing New Invitations

When a new request arrives, it will appear on your AdCollab dashboard. Click Read More on any invite to see the critical details:

  • The Brand: Who is the advertiser?

  • The Requirements: What exactly are they asking for? (e.g., 2 x 30-second mid-rolls).

  • Estimated Revenue: How much is the campaign expected to earn?

  • Campaign Dates: When will the ads be running?

2. Accepting or Declining

In the top-right corner of the campaign view, you have two main actions:

  • Accept: By clicking accept, you confirm that the brand is a good fit and you are happy with the requirements. This officially moves the project into the Creative Production phase.

  • Decline: If the brand conflicts with your show’s identity or a pre-existing sponsorship, select decline. You’ll be asked for a brief reason, which helps our team send you better-matched opportunities in the future.

3. Monitoring Progress

After you’ve approved a deal, you can use the dashboard to maintain a "bird’s-eye view" of your show’s ongoing collaborations and check-in with your creative team:

  • Track which sponsorships are currently in production.

  • See if any assets are stuck in the "Revisions Requested" stage.

  • Confirm when a campaign is "Approved" and ready for launch.

FAQ for Approvals

Can I change my mind after I’ve accepted? If you need to cancel a sponsorship after accepting it, please use the in-product chat immediately to alert the Acast representative. Manual "undo" actions are restricted once a project moves into production to prevent workflow confusion.

Why don't I see the "Upload" button? If you only have the Approvals role, your focus is on the business decision. The ability to upload audio or video files is reserved for those with the AdCollab Ad Production role. If you handle both, ensure you have both roles assigned in User Management.

Who sees the revenue data? Estimated revenue is only visible to users with Approvals permission on the given show or its network. Ad Production roles don’t get a view on early stage requirements and revenue estimates.
